S/he is the person working in the compilation of the findings obtained in the scientific researches made in the various branches of the medicine and health technology, putting them in order and presenting them to the service of the researchers. DUTIES S/he collects and arranges the numbers of the ones discharged with full recovery or the ones who died, the duration and type of the treatment made, the distribution of the hospitalized patients to the various departments, the bed and treatment opportunism in the hospitals where they work and presents them to the service of the concerned people, compiles the periodical statistics tables of the hospital or health institutions where they work in the issues such as the effectiveness, bed capacity, birth rate, death rate etc. and puts them in order for the presentation of them to the service of the researchers, compiles the  findings obtained in the scientific researches made in the field of medicine and puts them in order, realizes the patient registration and discharging operations in the hospitals, sends them to the related departments or doctors, writes the medical reports and establishes and arranges the hospital archive from the beginning.

QUALIFICATIONS THAT THE PROFESSION REQUIRES

 

For the ones who want to be medical documenter and secretary, they are required to be persons having the healthy hands and fingers and seeing and  hearing organs, who can perceive the details, who are careful, well-ordered, following the rules, being responsible and liking to work by sitting in the closed environments, who are patient and can establish easy communication with the people.

 

WORKING ENVIRONMENT AND CONDITIONS

 

The medical documenter and secretary can take duties in the hospitals in the patient dossier archive, in the polyclinics, in the service secretaries and offices. They are in close relations with the hospital personnel and patients. Their working environment is crowded, but it is clean and without noise. The secretaries working in the departments related to the operations of the hospitalization or discharging can encounter with the difficulties in explaining the situation to the patient owner or relatives who cannot express their request or who want their requests to be immediately realized.

 

PLACES WHERE THE PROFESSIONAL EDUCATION IS GIVEN

The education of the profession is given in the “Medical Secretary” department of the Health Vocational high schools and in the department of the “Medical Documentation and Secretary” of the Health Services Vocational Graduate schools of the universities. The ones graduating from the departments of the medical secretary, medicine secretary, office management and secretary of the vocational high schools can apply to the associate degree programme of the “Medical Documentation and Secretariat” for transition without examination. They are placed according to the quotas by considering their secondary education success scores, school types, Vocational and Technical Education Regions   (METEB) and graduation years. The ones who have graduated/will graduate from the departments or high schools other than the departments of the vocational high schools determined for the transition without examination can be placed according to their requests and YGS (The transition to higher education examination) scores to the open programmes with the additional placement if the quota is left at the end of the placement without the examination. For this, these persons are required to enter to the transition to higher education examination (YGS) realized by the ÖSYM (Assessment, Selection, Placement Center) and get the sufficient “YGS-3” score.

 

DURATION AND CONTENT OF THE EDUCATION

 

The medical documentation and secretary programme of the health services vocational graduate schools is 2 years after the high school and the health vocational high school medical secretary department is 4 years after the primary education. In the medical documentation and secretary programme, in the 1st year, there are ten-finger keyboard usage, fundamental anatomy, medical terminology, computer knowledge, medical deontology, secretary techniques, diseases knowledge, hospital information management systems and elective courses. In the 2nd year: there are medical documentation, public relations, hospital application, computer knowledge, composition courses and elective courses as well. Also, the  theoretical and practical works are realized in the issues of the architectural structures of the hospital archives, shelf order, folder procedures, indexing procedures, storage procedures, protection of the archive materials against the pests, preparation of the archive budget, how the secretary services of the medical registration commissions required to be available in the hospitals are required to be made. In the applied courses, how the dictate devices are used, and the Windows and the progrmmes working under the windows and especially the access, word and write programmes in the computer are learned. To the ones completing the education with success, the associate degree diploma of the “Medical Documentation and Secretary” and the title of the “Medical Documenter and Secretary” are given.

 

WORKING AREAS AND JOB FINDING OPPORTUNITIES

They can get duties in the university hospitals, state hospitals, primary health care centers, private hospitals and clinics, private doctor’s offices, medical software (medical journal, bulletin, abstract etc.) companies, in the sales and promotion works of the medical materials, and ambulance companies. There is still the staff problem and the personnel trained in this issue in the field of health are needed. It is hoped that the staff problem will also be solved in the future. The chance of finding job is increasing also in the private hospitals whose number is gradually increasing. When it is considered that there are doctors and especially nurses keeping the medical records and books in the hospitals, it is clear that hundred thousands of personnel are needed in case the medical documenter and secretaries who will realize this duty are trained. They can work in the private health institutions as the secretary, archivist, statistics official and they can also take duties in the medicine promotion firms. That they are equipped with very well computer knowledge and know ten finger typewriting ensure that they are the mostly sought personnel by the medical software offices. They follow the patient appointment works of the doctors of the private doctor’s offices and they assist to the scientific works of the doctors. 

 

ADVANCEMENT IN THE PROFESSION

In case the ones completing the “Medical Documentation and secretary” programme succeeded in the Vertical Transfer Examination (DGS) realized by ÖSYM (Assessment, Selection, Placement Center), they can make vertical transfer to the Health Institutions Management and health administration undergraduate programme. The ones graduating from the medical documentation and secretary department of the health services vocational graduate school can take duties as the administrate officials in the hospitals and similar institutions. They can also be promoted to the office chiefdom (administrative and technical affairs, library and documentation affairs, etc.) according to their professional success and experiences.
